1. Scope and ApplicabilityGeneral
This Privacy and Cookies Policy applies to all users of Synthia AI services, including customers, end-users, and visitors accessing the platform through web or integrated interfaces (e.g., MS Teams, CRMs). This policy is compliant with applicable data protection laws, including India's DPDP Act and North America's GDPR (where applicable) and CCPA.
2. Data Collection
Synthia AI only collects data necessary to deliver enterprise-grade analytics and automation. Depending on your deployment, we may process:
- Structured data from your ERP, CRM, SaaS tools, IoT systems, and more
- Unstructured inputs such as scanned documents, PDFs, emails
- User interactions (e.g., queries made via conversational UI, corrections to AI outputs)
- Audit logs (e.g., pipeline activity, decision overrides, data access events)
Note: In most cases, all data is processed inside your infrastructure—either in your cloud (VPC) or on-premise systems.
3. Data Use
We use data strictly for:Performing analytics, reporting, and intelligent automation
- Training and fine-tuning AI agents within your approved use-case scope
- Enhancing user experience (e.g., personalization, error correction workflows)
- Continuous improvement through feedback loops and Human-in-the-Loop validations
No data is used for advertising or unrelated third-party profiling.
4. Data Sovereignty and Retention
- Zero egress policy: Your data does not leave your network unless explicitly whitelisted.
- Retention: Data is retained as per your policy and contracts. Synthia AI does not retain customer data beyond what is necessary for agreed operations.
- Ownership: You retain full ownership of your data, embeddings, prompts, and feedback.
5. Security Measures
Synthia AI is designed with enterprise-grade security:
- Role-based access controls (ACLs)
- Immutable logs for auditability
- Integration with your IAM/SSO and KMS/HSM systems
- Data encryption in transit and at rest
- HITL review for all low-confidence AI outputs
6. Cookies and Tracking Technologies
- Session cookies are used to maintain session state within UI interactions.
- Analytics cookies may be used only with consent, to improve performance and troubleshoot issues.
- No marketing or third-party advertising cookies are used.
Users can control cookie preferences via browser settings or in-product prompts, where required.
7. User Rights (India & North America)
Depending on your region, you may have the right to:
- Access or correct your data
- Request data erasure
- Object to or restrict processing
- Request data portability
- Lodge a complaint with a regulatory authority
Synthia AI supports these rights via client-specific workflows, administered through enterprise IT.
8. Subprocessors and Third-Party Services
Unless explicitly approved, Synthia AI does not use third-party subprocessors. All infrastructure, model inference, and logging occur in your controlled environment.
9. Changes to This Policy
We may update this policy to reflect product evolution, legal changes, or best practices. Material updates will be communicated to affected customers in advance.
